Challenge

"One of our board members said AI will be bigger than the Internet. What are we doing with AI?" - These were the words of an association CEO after a board meeting.

This comment set off a flurry of frantic activity and questions at the association - What is our AI policy? What AI tools should we give staff? Which staff should get AI? What should we use it for?

That's when we got the call.

Strategy

Our strategy focused on three areas: assessment, selection, and adoption.

  • Assessed the associaton's AI Readiness and crafted an AI Policy and Position Statement
  • Identified and defined high-impact use cases across the organization. Evaluated and selected the best AI Tools for each use case
  • Implemented AI Change Management across the organization, providing training on AI prompts, workflow creation, and ethical usage

Results

Fifty-eight people across the association successfully adopted AI Tools by integrating them into their daily workflow and by applying it to 10 specific use cases across the organization.

Challenge

"How are we supposed to get through 600 emails a day and not miss anything?" - these were the words of a stressed and overwhelmed Events department.

The emails were relentless. Questions from registrants, sponsors, speakers, press, and CEOs. Everyone believed their email was top priority. The Event staff didn't know where to begin, and complaints from unanswered emails started to pile up.

That's when we got the call.

Strategy

Our primary strategy for this specific problem was two-fold: use AI to prioritize incoming emails and know as many answers as possible.

  • Used Microsoft Copilot Studio to create a custom AI Agent that had access to all of the emails sent to the Events department
  • Trained the agent by providing 8 years worth of emails sent and received, providing a list of important people and priority companies, providing all information about the different events (the schedule, speakers, times, dates, prices, etc.), and any additional information staff felt was important.
  • Provided the Customer FAQ Agent to Event staff only to help them quickly prioritize, process, and respond to emails

Results

The amount of time the Events department spent answering emails was cut in half, while dramatically increasing response times.

Challenge

"It’s just going to create more work" and It’s going to replace me" - these were the concerns expressed by staff of a mid-sized membership organization.

The association's investment in ChatGPT Team saw less than 25% of staff using it after three months, as employees privately voiced concerns about job security and skepticism regarding AI's capability.

That's when we got the call.

Strategy and Services

Our primary approach focused on transforming AI from a threat into a trusted tool through a people-first implementation strategy. Here's what we did:

  • Conducted "Fear to Faith" workshops to listen to concerns and transform narrative from "AI will replace me" to "AI can help me"
  • Created AI Champions Network and a metrics dashboard to recognize / celebrate AI wins (time saved, process improvements, innovation)
  • Implemented "Start Small, Win Big" strategy with small, low-risk AI tasks that showed immediate results
