Challenge

"We are drowning in registrations and can’t keep up.” - these were the words of an Event Coordinator running an annual conference with an explosion in registrations.

This association had two separate systems involved in their Event Registration process - a registration website and an AMS system (iMIS).

Registrations would come in each day through the registration website, and due to a recent upgrade to iMIS, staff would have to manually enter the registrations.

This process took hours each day, and caused staff to fall further and further behind trying to keep up with everything.

That's when we got the call.

Strategy

Our strategy here was simple and clear - automate the registrations so they go directly from the registration website into iMIS. Here's what we did:

  • Reviewed existing software and technologies owned by the association
  • Discovered a data migration module in one of their existing products
  • Built a middleware solution that used API’s and SQL to prepare registration data that was then fed to the data module and imported directly into iMIS.

Results

With 10 days of getting the call, event registrations were fully automated, saving staff 15 - 20 hours per week.

Challenge

"We just can’t allow members to update our database directly." - these were the words of the Membership Director of an association with tens of thousands of members and a complicated membership structure.

Because of this association’s complex membership structure, and their commitment to data quality, they did not want members to be able to update, or create, their profiles directly in their AMS database through their website profile.

They wanted to spot check the profile information first - to ensure accuracy and standardization - before inserting or updating the data.

That's when we got the call.

Strategy

Our primary strategy for this specific problem was to give them complete control over the data, but in a way that made the process feel automatic. Here's what we did:

  • Built a custom middleware application that put the new / updated data side-by-side with the data in the AMS
  • Added "quick action buttons" that allowed them to select and update data according to their standards before inserting / updating the database
  • Connected the middleware to the AMS via API, so finalized and approved data could be sent through with the push of a button

Results

Association staff were able to to quickly - within five to twenty minutes, instead of hours - review and process 30 to 50 profile changes and additions daily.

Challenge

"We get five different emails about the same thing." - these were the words of several members of a large trade association.

And it was true. Different people around the association were sending out mass emails to their groups - committee members, working groups, etc - in addition to the marketing emails from conferences and public affairs.

That's when we got the call.

Strategy and Services

Trying to coordinate the email schedule of 12 departments was just not feasible. It would create more work for everyone, and everyone thought their email was a priority.

Our strategy was automatic visibility - automate a system to allow everyone to see what had already been sent out, to who, and to see when big email blasts were scheduled.

  • Created an association wide project in their project management system
  • Created a shared, catch-all email address that was included in the recipient list of all mass email communications
  • Created an automated flow in Zapier that - 1.) monitored the shared email address, 2.) created a task in the project management system for each new email that arrived, 3.) included the email message, recipient list, subject and date within the task description

Results

Staff were able to quickly review all mass emails sent across the association, including what was in the message, and who it was sent to. Staff could also schedule future tasks to show when future messages were going to be sent.

This resulted in a dramatic reduction in redunant emails being sent to members.
